Summary:
The Corporate Services Specialist/Paralegal plays a key role in managing client relationships and ensuring the seamless execution of corporate service orders. This position requires a detail-oriented professional with strong communication skills and a solid understanding of corporate governance and compliance. The Specialist will serve as the primary point of contact for clients, oversee project workflows, and collaborate with internal teams to deliver high-quality service. Training will be provided on internal systems, CRM tools, and client-facing technologies to ensure success in the role.
Key Responsibilities
- Serve as the primary contact for clients from the initiation of an order through to project completion.
- Oversee and manage corporate services orders, including: Executing orders for annual reports, formations, and registered agent services. Creating shared folders for document management. Exporting full reports in Excel upon request.
- Lead onboarding efforts for new corporate services clients, ensuring expectations are met and processes are clearly communicated.
- Maintain ongoing communication with internal teams regarding:
- Client communications and order updates.
- Issues, pricing requests, and service inquiries.
- Competitive intelligence and client feedback on software products or services.
- Resolve client complaints efficiently and collaborate with the team to troubleshoot and address issues.
- Maintain client accounts and proactively inform them about new software products and corporate services.
- Perform other related duties and special projects to support evolving business needs and strategic priorities.
Requirements
- Bachelor’s degree in business or a related field preferred.
- 1–3 years of customer service experience in a business setting, ideally within the public records industry (e.g., title company, service company, law firm, or corporate legal department).
- Strong knowledge of corporate governance, compliance, and entity management.
- Preferred experience in:
- Small to medium-sized business environments.
- Legal-related software solutions and services.
- Law firm or corporate legal settings.
- Highly detail-oriented with strong multitasking abilities.
- Capable of working independently and collaboratively within a team.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, basic PowerPoint).
